The Executive Education Center invites applications for the position of Administrative Assistant at the EEC Ifrane

The position requires excellent communication skills in French and English, and organization skills. Duties include all office administrative and secretarial tasks in addition to regular centralization of projects’ information provided by the different coordinators and preparation of periodical reports on the EEC’s activities. In addition, the staff member is expected to increasingly participate in the development of the Center activities by working directly with all components of the EEC.

Major duties and responsibilities:

* Provide input in enhancing administrative processes.
* Plan, organize and manage the secretarial and clerical functions of the EEC Ifrane.
* Ensure adequate coordination between the Executive Education Center and the other departments of Al Akhawayn University.
* Review completed work submitted for the officers’ signatures to ensure accuracy and adherence to regulations and format.
* Keep Center’s staff informed of decisions, new procedures or policies affecting them or their work.
* Draft, type and format a variety of correspondence (including letters, faxes, memoranda, etc.) reports and other documents in Arabic, English and French, in draft and final form.
* Follow up the EEC documents and ensure being up to date.
* Control action on incoming and outgoing office correspondence and communications.
* Arrange for transportation and hotel reservation for supervisor and other staff in-country trips and out of country travel.
* Establish and direct maintenance of office filing system, periodically retiring files and records to the archiving system.
* Coordinate the arrangement of logistical aspects related to the organization of executive education events with different coordinators.
* Provide technical assistance for the elaboration of development projects, budgeting, pricing etc.
* Take care of all the EEC equipment in Ifrane and make the necessary maintenance to keep them in good condition.
* Exercise a proper duty of care for faculty, staff, students and visitors to the Center.
* Make sure that the tasks are performed in a collaborative and team spirit.
* Perform other miscellaneous related duties as assigned.

Reporting line: The Administrative Assistant reports to the EEC Manager.

Qualities sought:

* Applicant must hold at least a bachelor degree, preferably in Business Administration, or equivalent.
* 2 years of experience in a similar position.

Candidate must demonstrate the following:

      o Excellent written and oral communication skills (in Arabic, English and French).
      o Excellent organizational skills (office organization and file follow-up).
      o Good computer skills (Microsoft office), database management is a plus.
      o Ability to adapt to different work situations and to perform multiple tasks.
      o Sense of responsibility and commitment.
